About the Role

Play a key role in supporting the Lord Mayor and senior staff by delivering high-quality executive, coordination and operational support across a diverse range of priorities. Given the nature of this role and its direct support to the Lord Mayor, flexibility is essential, including a greater level of in-office attendance than may be required in other Council roles.

In this role you will:

  • Provide high-level executive support to the Lord Mayor, managing a busy schedule, correspondence, briefings, reports and key communications.

  • Coordinate meetings, events, functions and travel arrangements, ensuring seamless planning, logistics and follow-up of actions.

  • Prepare high-quality reports, presentations, briefing papers and other documents to support informed decision-making.

  • Build and maintain strong relationships with Councillors, government representatives, community stakeholders and internal teams.

  • Manage constituent enquiries and correspondence with professionalism, discretion and a customer-focused approach.

  • Support the delivery of key priorities, projects and initiatives for the Office of the Lord Mayor while managing competing deadlines and changing priorities.

  • Contribute to the efficient operation of the Office of the Lord Mayor through effective office management, process improvement and administrative coordination.

  • Handle confidential and sensitive information with sound judgement and professionalism in a dynamic political environment.

About You

You are a highly organised and proactive executive support professional who thrives in a fast-paced environment. You have a proven ability to manage competing priorities, build strong stakeholder relationships and provide exceptional support to senior leaders with professionalism, discretion and sound judgement.

You will also bring:

  • Significant experience providing high-level executive or secretarial support in a complex, customer-focused environment.
  • Exceptional organisation, time management and administrative skills, with the ability to prioritise effectively and meet tight deadlines.
  • Strong written and verbal communication skills, with confidence engaging with stakeholders at all levels.
  • Advanced proficiency in Microsoft Office and electronic records management systems.
  • Proven ability to handle sensitive and confidential information with discretion; experience in local government or a politically sensitive environment will be highly regarded.

To be considered for this role, you will hold a TAFE certificate or equivalent and any other qualification relevant to the position as well as 10+ years’ experience in a senior Executive Support role.
