Full Job Description

Roussos Recruitment are a specialist recruitment business entering an exciting stage of growth. With a strong pipeline of live roles, established client relationships and plans to expand the team over the next six months, we are looking for a highly organised and proactive Business Operations Manager / Executive Assistant to support the Director and help strengthen the internal operations of the business.

This is not a traditional EA role.

We are looking for someone who can become the operational right hand to the Director, bringing structure, organisation and accountability to a busy, fast-moving recruitment environment.

The Role

Working closely with the Director, you will help manage the day-to-day rhythm of the business across workflow, systems, reporting, administration, team coordination and executive support.

You will play a key role in improving internal processes, keeping priorities on track and helping the business scale in a more structured and efficient way.

Key Responsibilities

Your responsibilities will include:

  • Supporting the Director with diary, inbox, priorities, meetings and follow-up actions
  • Managing workflow across live recruitment assignments
  • Maintaining and improving CRM / ATS discipline
  • Preparing weekly WIP reports, dashboards and activity trackers
  • Coordinating meetings, interviews, client updates and internal actions
  • Building templates, checklists and standard operating procedures
  • Supporting onboarding, invoicing, reporting and general administration
  • Helping create structure, consistency and accountability across the team

About You

You will be highly organised, proactive and confident working in a busy professional services environment.You may come from recruitment, executive search, professional services, construction, consulting, legal, real estate, finance or another fast-paced service-based business.

You will ideally bring:

  • Experience as an EA, Business Manager, Operations Coordinator, Office Manager, Senior Administrator or Recruitment Coordinator
  • Strong diary, inbox and workflow management skills
  • Excellent attention to detail
  • Confidence using CRM, ATS, database or project management systems
  • Strong written and verbal communication skills
  • The ability to manage competing priorities
  • A calm, professional and solutions-focused approach
  • Strong discretion and confidentiality
