Office Administration Coordinator
Help support a purpose-driven team making a difference for young people and their families.
Location: Manly & St Leonards, NSW
Part-Time: 28 hours per week, 4 days, Tuesday to Friday, On-site
At Sydney Drug Education & Counselling Centre (sdecc), we provide free, evidence and trauma-informed support for young people aged 12–25 experiencing challenges related to alcohol and other drug use. Our team works across Northern Sydney, offering counselling, group programs, education and family support services both in person and via telehealth.
We are looking for a warm, organised and proactive Office Administration Coordinator to support the smooth day-to-day running of our service.
This is an important front-of-house role and would suit someone who enjoys variety, takes initiative, communicates confidently with a wide range of people, and is happy to jump in and help wherever needed.
This role will primarily be based at our Manly office, with 1 regular day based at our St Leonards office and the ability to travel between sites throughout the week, if needed to support each office.
About the Role
As the Office Administration Coordinator, you will help support the smooth day-to-day running of our service and play an important role as a first point of contact for young people, families and stakeholders.
Responsibilities may include
- Welcoming young people, families and visitors to the service
- Managing phones, enquiries, bookings and general reception support
- Managing the day-to-day office administration
- Supporting the CEO
- Assisting with calendars, meetings, agendas and coordination tasks as required
- Preparing documents, notes and general administrative support materials
- Maintaining office systems, supplies and facilities coordination
- Assisting with office administration activities and online meeting set up
- Supporting efficient systems and ways of working across the organisation
- Using digital platforms and technology confidently, including learning new systems and tools.
We’re looking for someone who is
- Friendly, approachable and confident communicating with young people, parents and professionals
- Demonstratable experience in a similar office administration role, within a health and/or mental health setting would be favourable
- Executive support experience desirable
- Bright, proactive and happy to take initiative while also following direction
- Respectful, reliable and comfortable working within a close-knit team
- Organised with strong attention to detail
- Happy to support a wide variety of administrative and operational tasks
- Comfortable managing competing priorities and staying calm in a busy environment
- Tech-savvy and confident using digital systems and learning new platforms quickly
- Experienced using databases or client management systems
- Passionate about supporting community-based or purpose-driven work
