The Organisation
Our client is a global organisation investing heavily into large-scale infrastructure and logistics projects across Australia and the broader ANZ region. Operating at significant scale, they are delivering one of the largest and most complex construction projects currently underway in the country, designed to transform national operations and distribution capability.
You’ll be joining a high-performing Design & Construction team on a flagship Melbourne project that has gained significant international attention due to its scale, complexity, and strategic importance.
The Opportunity
We are seeking a Project Administrator / Project Coordinator to support a major construction project based in Craigieburn (4 days onsite).
This role plays a critical part in reducing the administrative and coordination burden on senior project leaders, allowing them to focus on delivery execution in a fast-paced and evolving site environment.
You will be working in a live construction setting, supporting a project that is large-scale, complex, and requires someone who is proactive, organised, and comfortable operating in ambiguity.
Key Responsibilities Include
- Maintaining project action trackers and following up with stakeholders
- Preparing meeting minutes and distributing clear action items
- Supporting document control and project information management (key focus)
- Coordinating vendor onboarding, inductions, and site logistics
- Assisting with weekly reporting, project updates, and stakeholder communications
- Managing calendars, meeting scheduling, and general site-based admin support
You’ll be embedded within the project team, supporting day-to-day operations and ensuring project coordination runs smoothly across multiple contractors and stakeholders.
Required Skills
- 2–5 years’ experience in project administration or coordination
- Background in construction, infrastructure, or fit-out projects
- Experience with document control and project tracking
- Comfortable working in a site-based environment (White Card required)
- Strong attention to detail and ability to work autonomously
- Confident communicator, able to follow up and chase stakeholders
- Proficient in Microsoft Office (Excel, Outlook, Word)
Desirable Skills
- Exposure to Aconex, Procore, BIM360, or similar document systems
- Experience supporting large-scale or complex projects
- Degree in Construction, Engineering, or similar (preferred, not essential)
- Exposure to vendor onboarding, invoicing, or purchase orders
