Contract Project Coordinator

Sydney CBD | Hybrid | $650/day + super

Osborne Richardson is partnering with a NSW Government department to source a Project Coordinator with HR or organisational change experience to support a high-profile reform initiative. This is a great opportunity for an experienced coordinator to work closely with senior leadership, providing both project coordination and executive support in a fast-paced government environment.

About the Role

Reporting to the Director, you'll play a pivotal role in supporting project delivery and executive functions, working across governance reporting, stakeholder engagement, and high-level administrative support.

Key Responsibilities

Project Coordination & HR Support

  • Develop and maintain project plans, timelines, and status reports
  • Monitor progress against milestones and escalate risks or delays
  • Prepare documentation, briefing notes, and reports for governance committees
  • Maintain risk and issue registers and support mitigation strategies

Executive & Administrative Support

  • Manage the Director's calendar, prioritising meetings and commitments
  • Prepare agendas, minutes, and action logs for leadership meetings
  • Screen and prioritise incoming correspondence and requests
  • Draft and format high-quality presentations and communication materials for Board and Executive Leadership Team meetings

Stakeholder Engagement

  • Act as a point of contact for internal and external stakeholders
  • Schedule and manage meetings, ensuring timely distribution of materials
  • Assist in drafting communication materials to support change initiatives

Administrative Support

  • Maintain accurate records and filing systems in line with agency standards
  • Coordinate logistics for workshops, meetings, and stakeholder engagement activities

Key selection criteria

  • Strong project coordination and administration experience in HR or organisational change
  • Proven experience providing executive support at senior leadership level
  • Excellent written and verbal communication skills
  • Ability to manage competing priorities in a fast-paced environment
  • Proficiency in MS Office Suite and project management tools
  • Understanding of government processes and compliance requirements (desirable)
