Your Role as Team Coordinator - Organisational Transformation and Business Operations
The Team Coordinator provides administrative, coordination, and operational support to the Executive General Manager and broader Innovation, Technology and Security (IT&S) Leadership Team. The role acts as a central coordination point for the function, supporting leadership effectiveness through managing schedules, governance activities, communications, and general office operations. It ensures the smooth running of day-to-day activities while enabling the Leadership Team to focus on strategic and operational outcomes
You’ll deliver this role by:
- Provide proactive and reliable administrative support to the Executive Manager.
- Provide general administrative and office support across the team as required.
- Manage complex calendars, scheduling, and meeting coordination across internal and external stakeholders.
- Prepare meeting materials, agendas, minutes, and follow-up actions.
- Screen and prioritise communications, ensuring timely responses and escalation where required.
- Support preparation of presentations, reports, and briefing materials.
- Act as a coordination point for the IT&S function, supporting leadership team activities and alignment.
- Assist in planning and coordination of team meetings, workshops, and planning sessions.
- Maintain team documentation, registers, and shared resources.
- Support coordination of governance forums, including scheduling, pack preparation, and minute taking.
- Assist in tracking actions, risks, and decisions across leadership forums.
- Maintain reporting templates and support the consolidation of team reporting inputs.
- Ensure documentation is accurate, consistent, and maintained in line with organisational requirements.
- Support internal communications, including updates, announcements, and team-wide messaging.
- Coordinate engagement activities across the IT&S function.

What We’re Looking For
- Demonstrated experience in an executive assistant, team coordinator, or administrative support role.
- Experience supporting senior leaders in a complex organisational environment.
- Strong organisational and time management skills with the ability to manage competing priorities.
- High level of attention to detail and accuracy in documentation and coordination activities.
- Well developed written and verbal communication skills, together with strong stakeholder engagement skills.
- Proficiency in Microsoft 365 tools and application
A Valuable Addition, Yet Not a Must-Have!
- Experience in a technology or corporate environment.
Essential Requirements
- Proof of COVID-19 vaccination status (or as required by legislation and WMQ policy)
- Relevant probity checks required by legislation and WMQ Limited policy.
- Current Driver’s Licence and willingness to travel for work
