All Hallows’ School, a Catholic Mercy school for girls from Years 5–12, seeks to appoint an Administrative Assistant Student Services to join our community.
The Administrative Assistant Student Services is a friendly and professional member of the administrative team who provides high-quality administrative support and contributes to a well-organised and welcoming school environment. Through the effective management of day-to-day administrative functions, the provision of accurate and timely information, and the professional handling of enquiries, this role plays a key part in supporting the smooth operation and ongoing success of Student Services and the wider school community.
Key Responsibilities
Ensure strict adherence to confidentiality protocols relevant to student information and school operations, safeguarding sensitive data in compliance with privacy regulations
Develop and enhance file structures and record systems following established practices.
Input and extract critical information from the school’s TASS database, ensuring data accuracy and relevance while troubleshooting any issues that may arise
Maintain student management system, TASS, to accurately record and report student late arrivals, absences, and other attendance-related matters
Address enquiries from students, parents, and staff promptly and professionally, resolving issues in accordance with established routines, methods, and procedures. Coordinate meetings between staff and students as needed, ensuring all parties are informed and accommodated effectively
Work closely with Heads of Department to support academic and administrative functions, facilitating communication and collaboration to enhance the educational experience
Collaborate effectively as part of a team, contributing to the ongoing improvement of office services and workflows, fostering a positive work environment that enhances productivity and service delivery
Role Requirements
Hold and maintain a current Queensland Working with Children Clearance (Blue Card).
Have approval to work in Australia.
Have or maintain the appropriate clearances, qualifications or registrations required to perform the inherent functions of the role.
