About this Role
This is a hands-on, hybrid role within a fast-paced, growing beauty business. As a Warehouse Administrator, you'll be involved end-to-end across component management, manufacturing planning and execution, and global exports and distribution — as well as building working relationships with our third-party logistics partners and supporting the warehouse team on the ground day-to-day.
This role is well-suited to a proactive problem solver who takes ownership of their work and looks for ways to improve how things are done. For the right person, it's a strong platform to build genuine operational knowledge across the global supply chain.
Key Responsibilities
Administration & Systems
- Assist with branch transfers and inventory movements in the relevant systems (e.g. CIN7/NetSuite), under guidance
- Liaise with external logistics and 3PL partners to proactively identify inefficiencies and process gaps, resolve day-to-day issues independently, and recommend improvements before problems arise
- Maintain incoming/outgoing stock records in relevant platforms
- Support the upload and tracking of ASNs (Advanced Shipment Notifications) for 3PL operations
- Prepare basic shipment and transfer documentation (e.g. packing slips)
- Support production planning and execution — coordinating components in and out of production
- Help keep warehouse SOPs up to date and flag when processes need review
- General administrative tasks including data entry, filing, and system updates as required
Warehouse Operations
- Receive, check, and record incoming goods against delivery documentation
- Ability to prepare and dispatch bulk shipments with accuracy and care, meeting assigned deadlines
- Load and unload trucks using appropriate manual handling equipment (forklift, pallet jack)
- Maintain a clean, organised warehouse in FIFO layout consistent with the stock management system
Inventory & Quality Assurance
- Assist with regular stocktakes and inventory checks, maintaining accurate records
- Assist with warehouse storage allocation to ensure stock is stored correctly per FIFO practice
- Support QC processes — ensuring stock is quarantined until quality checks are completed and approved
- Assist with quality checks on production components, marketing materials, and finished goods
- Record quality control outcomes and escalate concerns to the relevant team member
Facilities Support
- Assist the Warehouse & Facilities Manager with day-to-day facilities tasks — maintenance logging, ordering supplies, flagging issues
- Support setup and organisation of office and warehouse equipment as required
- Contribute to a safe working environment by observing and reporting WHS concerns
Essential Skills, Knowledge & Experience
- Minimum 2+ years of experience in a dedicated administrative or office support role
- Comfortable and willing to work inside a fast-paced warehouse environment, with prior exposure or experience in logistics highly preferred.
- Strong attention to detail — in both physical handling and data entry
- Comfortable with Microsoft Office (particularly Excel) and willing to learn new systems
- Good written and verbal communication skills
- Ability to multitask and manage competing priorities
- Sound knowledge of workplace health & safety standards
- Physically fit and able to perform manual handling tasks
