Executive Assistant to Mayor and Councillors
- Part-time (30.4 hours per week), ongoing position
- Be the backbone of civic leadership - support the Mayor and Councillors at the highest level.
- $104,790 - $114,015 per annum (pro rata to be applied) plus Super
This is an exciting opportunity to provide high-level executive and administrative support to the Mayor and Councillors, helping ensure the smooth coordination of civic duties, Council business and community-facing commitments.
About the role
Working 30.4 hours per week across 4-days, you will play a pivotal role in ensuring the offices of the Mayor and Councillors operate seamlessly and professionally, managing complex workflows , competing priorities and sensitive matters in a dynamic civic environment. The role also involves building strong relationships across the organisation and with key external stakeholders, supporting effective governance, community engagement and the delivery of Council’s strategic objectives.
About you
You are an experienced Executive Assistant who thrives in fast-paced, complex environments. You bring exceptional organisational skills, sound judgment, and the ability to manage sensitive and confidential matters with discretion. Your interpersonal skills enable you to build strong, respectful relationships at all levels, and you have advanced proficiency in preparing documentation, reports, and presentations. You are proactive, adaptable, and confident in leveraging technology to improve processes and outcomes.
Key responsibilities
In this role, you will oversee and manage administrative and executive support functions for the Mayor and Councillors , ensuring calendars , meetings, correspondence and civic commitments are handled with precision and professionalism.
You will keep the Mayor and Councillors informed and prepared for meetings, events and community engagements, coordinate travel and civic activities where required , and maintain the highest standards of confidentiality , accuracy and presentation.
Beyond day-to-day operations, you will assist with research, briefings, projects and governance -related activities, ensuring timely delivery and alignment with Council priorities. You will liaise with the Mayor, Councillors, senior leaders and external stakeholders, representing the Mayor and Councillors’ offices with professionalism and discretion. Importantly, you will contribute to process improvements, embracing emerging trends and technologies to enhance communication and streamline administrative practices across the organisation.

Employment Requirements
- Demonstrated experience in providing high-level executive or administrative support within a complex, fast-paced and politically sensitive environment
- Applicants must have the right to work in Australia.
- Preferred applicants will be required to undergo a National Police Record Check and hold a valid Working with Children Clearance.
