The Role.
We are looking for a motivated and organised Rental Coordinator to join our Mackay branch on a 12-month fixed-term contract covering maternity leave, with the potential for ongoing opportunities. This role is responsible for supporting the efficient day-to-day operation of the rental department by coordinating equipment availability, hire administration, transport arrangements and customer communication. You will play a key role in ensuring our customers receive seamless forklift and access equipment rental solutions while supporting the overall success of the branch.
Working closely with the rental, workshop and sales teams, you will help ensure equipment is available, maintained and delivered on time while providing outstanding service to our customers.

Key Responsibilities.
In this role you will be responsible for the following.
- Manage on-hire and off-hire processes in line with customer requirements and company procedures to ensure a smooth rental experience.
- Ensure rental machines are available, prepared, and ready for timely transport to meet operational and customer needs.
- Check, review, and authorise transport and sub-hire invoices in accordance with internal processes.
- Maintain and update the rental availability report to ensure accurate visibility of equipment status.
- Monitor transport activity to ensure cost-effective operations and identify opportunities for improved efficiency.
- Review and optimise transport strategies to deliver timely and cost-efficient solutions for equipment movement.
- Support the growth of the rental fleet by responding to office-based enquiries and assisting in building the customer base.
- Coordinate workshop priorities in collaboration with workshop supervisors to meet both company and customer requirements.
- Liaise with sales representatives regarding upcoming equipment requirements and rental demand.
- Conduct regular stock takes of hire machines to ensure accurate inventory records and availability tracking.
Qualifications and Experience.
The successful candidate will ideally have the following qualifications and experience.
- Strong ability to prioritise tasks and manage multiple responsibilities in a fast-paced environment.
- Computer literate with confidence using systems and standard Microsoft Office applications.
- Motivated with a strong willingness to learn and develop new skills.
- Excellent written and verbal communication skills with the ability to engage across all levels of the business.
- Well-presented, organised, and professional in approach at all times.
- Strong team player with a positive attitude and a consistent “can-do” approach.
- Ability to communicate effectively with internal teams, customers, and external stakeholders.
