About the Role
We're looking for an organised, proactive and motivated Executive Assistant to support our Executive General Manager – Building & Construction. The Building & Construction team has 230 staff, operates from 5 offices and the group turns over approximately $160m pa.
This is a varied role where you'll be the trusted support to the Executive General Manager while also assisting the wider Building & Construction team with administration when needed. You'll be involved in everything from diary management and coordinating meetings through to supporting recruitment, onboarding and leadership reporting.
Whether you're already working as an Executive Assistant or you're an experienced Administrator looking to take the next step, we'll provide the mentoring and support to help you succeed.
As this role supports projects within the Defence sector, applicants must be Australian Citizens and be eligible to obtain and maintain a Defence Security Clearance
What You'll Do
- Support the Executive General Manager in achieving goals.
- Manage calendars, meetings, and travel arrangements.
- Prepare meeting agendas, minutes and action items.
- Coordinate reports, presentations and business documentation to support the senior leadership team.
- Assist with leadership meetings and end-of-month reporting.
- Process purchase orders, invoices and expense claims for Executive requirements.
- Support recruitment, onboarding and general people administration.
- Organise team events, workshops and conferences.
- Maintain records, registers and administrative systems.
- Identify opportunities to improve processes and administrative efficiency.
What You'll Bring
- Previous experience as an Executive Assistant or within an administration role (2–3+ years).
- Australian Citizenship with the ability to obtain and maintain a Defence Security Clearance.
- Excellent organisational and time management skills.
- Strong attention to detail and the ability to manage competing priorities.
- A proactive approach and willingness to support wherever required.
- Excellent communication skills and confidence working with stakeholders at all levels.
- Strong Microsoft Office skills.
- A professional and confidential approach to your work.
