An outstanding opportunity now exists for an experienced and highly professional Legal Office Manager / Executive Assistant to join a well-established boutique law firm located in the heart of Melbourne CBD.

Recognised for its professionalism, discretion, client service, and strong industry reputation, the firm acts for a broad range of corporate and private clients and is seeking a capable operator to become a trusted right hand to the Principal Partner.

This position will suit a polished and commercially minded professional who thrives within a fast-paced legal environment and takes pride in delivering exceptional organisational and operational support.

The Opportunity

This is a full-time, office-based role where you will play a pivotal role in the day-to-day management of the practice.

Acting as the central coordination point across the office, you will oversee workflow, client communication, administration, staff coordination, document preparation, and operational processes — ensuring the firm operates efficiently and professionally at all times.

You will also provide high-level executive support to the Principal Partner, enabling them to remain focused on client outcomes and strategic matters.

Key Responsibilities

- Manage incoming client enquiries, correspondence, and confidential communications

- Coordinate daily office operations, workflow management, and administrative functions

- Prepare, format, proofread, and manage legal and general business documentation

- Provide high-level executive assistance to the Principal Partner

- Coordinate staff schedules, internal communication, and office administration

- Liaise professionally with clients, barristers, consultants, suppliers, and external stakeholders

- Oversee document management systems, filing protocols, and practice administration procedures

- Assist with debtor management, invoicing follow-up, and administrative reporting

- Support the firm’s professional branding, online presence, and client engagement initiatives

- Maintain a polished, efficient, and client-focused office environment

About You

You are an experienced legal support professional with a calm and confident manner, exceptional attention to detail, and the ability to manage multiple priorities within a professional services environment.

You are highly organised, commercially aware, and capable of operating with discretion, professionalism, and initiative.

Ideally, you will possess:

- Previous experience within a law firm or professional services environment

- Strong executive assistant, office management, or legal administration experience

- Exceptional written and verbal communication skills

- Advanced organisational and time management capabilities

- High-level proficiency across Microsoft Office 365, including Word, Excel, Outlook, and OneDrive

- Professional presentation and stakeholder management skills

- The ability to work autonomously while maintaining high standards of accuracy and professionalism

- A proactive and solutions-focused approach to business operations
