We are looking for a proactive and highly organised Administrative Officer to join our Secretariat team.
About the Role
The Administrative Officer provides comprehensive and confidential administrative support to the Secretariat, ensuring seamless continuity of operations and contributing directly to the efficiency and effectiveness of governance processes. Operating under general direction, this pivotal role supports team operations, stakeholder engagement, and high-level coordination.
Your responsibilities will include
- Coordinate day-to-day administrative and operational activities across the Secretariat team.
- Develop and maintain effective administrative processes that meet operational needs.
- Screen incoming phone calls, emails, and visitors, handling inquiries or redirecting as appropriate.
- Manage the team’s shared inbox, ensuring timely and accurate task delegation and resolution.
- Liaise with a wide range of stakeholders, including executive managers, EAs, dignitaries, and representatives from industry and government.
- Maintain and manage busy calendars and appointments for team members to optimise workflow.
- Ensure timely communication of critical updates to the Director, Governance Services & Council Secretary.
- Prepare correspondence, presentations, reports, and briefing materials as required.
- Take accurate minutes for governance meetings and ensure appropriate follow-up.
- Support logistical planning for governance-related meetings, including booking venues, organising travel, and arranging accommodation and catering.
- Maintain and update team webpages and staff portal content to ensure accuracy and accessibility.
- Oversee the governance committee meeting schedule, making updates as needed and communicating changes effectively.
- Handle sensitive and confidential information with the utmost discretion.
Who we are looking for/Selection Criteria
- Proven experience in a high-level administrative or executive support role.
- Excellent written and verbal communication skills.
- Strong time management and prioritisation skills.
- High level of proficiency in Microsoft Office Suite and other relevant software.
- Experience managing complex calendars and coordinating meetings.
- Ability to maintain confidentiality and exercise sound judgment.
- An understanding of corporate governance principles and university governance structures.
This Continuous G05 level role attracts a remuneration of $83,283 - $91,103 + 17% Superannuation.

- As this is a continuing (permanent) role, you will require permanent work rights in Australia to be considered
