About the Team
The Digital Tools Team designs, develops, and maintains digital information management solutions that streamline and support the Commission’s core business objectives.
Our team documents, digitises, and optimises stakeholder processes and supporting content to improve decision-making and strengthen collaboration. We partner with our internal stakeholders to provide best practice advice and improve SharePoint literacy and security in the Commission.
About the Role
The Assistant Director Digital Tools leads the delivery, governance, and continuous improvement of the Commission’s digital knowledge management and collaboration platforms. The role provides leadership to a multidisciplinary team responsible for maintaining and enhancing the Commission’s SharePoint-based information management ecosystem. It focuses on improving information accessibility, process efficiency, and user experience, while ensuring alignment with organisational standards, governance requirements, and business needs.
Position Duties
- Lead and manage the delivery and continuous improvement of the Commission’s digital information management and collaboration platforms.
- Supervise and develop a multidisciplinary team, managing priorities, performance, and capability to deliver high-quality outcomes.
- Oversee the administration, governance, and optimisation of the Commission’s SharePoint environment, ensuring information is structured, accessible, and compliant with organisational standards.
- Drive the documentation, digitisation, and optimisation of business processes to improve efficiency, reduce duplication, and support better decision-making.
- Apply Agile and DevOps practices to manage work pipelines, prioritise enhancements, and deliver iterative improvements to digital tools and services.
- Establish and mature a SharePoint Centre of Excellence, promoting best practice, standardisation, and improved user capability across the Commission.
- Engage with business stakeholders to understand requirements, provide advice, and deliver user-focused digital solutions.
- Monitor risks and ensure appropriate controls are in place to support the ongoing reliability, security, and effectiveness of digital tools.
- Manage vendor and external service provider contributions where applicable to support delivery outcomes.
- Contribute to continuous improvement initiatives that enhance digital capability, collaboration, and service delivery across the Commission.

Demonstrated expertise in SharePoint Online and M365, including information architecture, governance, permissions, and content management.

Delivers reliable and user-focused digital services, applying structured approaches to improve processes, systems, and user experience.
Agile and Product Delivery
Applies Agile and DevOps practices to plan, prioritise, and deliver enhancements, ensuring responsive and iterative delivery of digital solutions.
Stakeholder Engagement and Communication
Builds effective relationships with stakeholders, translates business needs into digital solutions, and communicates complex concepts clearly.
Process Optimisation and Design
Applies structured methodologies (e.g. Lean Six Sigma) to document, analyse, and improve business processes and workflows.
Governance, Risk and Compliance
Ensures digital tools and information management practices align with organisational policies, security requirements, and governance frameworks.
Analytical Thinking and Problem Solving
Uses data and insights to identify issues, assess trends, and drive improvements to systems, processes, and service outcomes.
Mandatory
- Proven ability to lead and manage a multidisciplinary team to deliver digital or information management outcomes.
- Demonstrated experience administering and managing SharePoint Online and M365 environments in a complex organisational setting.
- Advanced expertise in SharePoint architecture, governance, and information management practices.
- Knowledge of Agile, DevOps, or product delivery practices.
- Experience using tools such as Azure DevOps and Visio.
Desirable Requirements
- ITIL Foundation and/or Agile/DevOps certification (or equivalent experience).
- Extensive experience administering and optimising SharePoint Online and M365 environments.
- Knowledge of information management principles, including metadata, taxonomy, and search optimisation.
- Experience using tools such as Azure DevOps (or similar), Visio, and digital design and content tools including Adobe Acrobat, Adobe Creative Cloud, and Figma.
- Experience establishing or contributing to a Centre of Excellence or similar capability uplift function.
- Experience applying process improvement methodologies (e.g. Lean Six Sigma).
- Experience working in the APS or similar regulated environment.
Position Notes
- Salary offered will be between $122,620 - $139,850 per annum depending on skills and experience. In addition, 15.4% superannuation will be paid.

- Non-ongoing opportunity will be offered for an irregular/intermittent term. Opportunities will be offered for varying periods up to 12 months with the option to extend to a total of 24 months.
