The Opportunity

We're seeking an organised and proactive Site Administrator to be the operational backbone of our innovative facility. You'll manage everything from operational and financial processes to safety compliance and contractor coordination —ensuring our site runs smoothly while supporting our mission-driven team.

What you'll be responsible for

Provide comprehensive administrative support to ensure efficient operations, including preparing and editing correspondence, reports, presentations and confidential documents as required

Maintain all administration systems including the site matrix, registers, diaries, records, mail, filing and archiving as well as supporting Shift Supervisors and Quality Assurance Supervisor with their administrative requirements

Support employee and contractor onboarding, document control, license and certification compliance and conduct auditing of site administration processes and documentation

Coordinate and support various meetings and committees by gathering agenda items, taking minutes, arranging travel, catering, events and appointments as needed

Conduct detailed analysis and reporting on site performance, tech productivity and asset performance as well as undertake projects and research as assigned by leadership

Manage inventory and stock control of PPE and office supplies, provide quality customer service to site visitors, contractors and clients, responding to enquiries via email and telephone

What you'll need to be successful

Tertiary Qualifications in related fields or other disciplines (desirable)

Proven experience in providing site administrative support, including experience in dealing with confidential matters

Excellent communication skills at all levels and working as part of a team

Demonstrated proficiency and experience in the use of a range of software applications (MS Office and G-Suite programs)

Strong organisational, time management and planning skills
